Quick answer: how do I set up Online Check-in in Holidu?
To set up Online Check-in, first register your accommodation with the local authority in your country or region. Then go to Tools, select Online Check-in, click Configure next to your property, and enter the login credentials you received from that authority. Once the connection is validated and saved, Holidu sends your guest data automatically. This guide covers setup, daily management, status colors, guestbook downloads, and manual resubmission.
1. Register with the responsible government authority
Before you activate Online Check-in in Holidu, you must register your accommodation with the local authority for your region. Holidu's regional teams have built this feature around each authority's rules, so you can stay compliant without learning every process from scratch. Use the table below to find the authority and the guide for your location.
Spain (except Catalonia and the Basque Country) uses SES.Hospedajes. Follow the guide to connecting to SES.Hospedajes.
| Region | Authority | Guidelines |
|---|---|---|
| Spain (except Catalonia and Basque Country) | SES.Hospedajes | How to connect to SES.Hospedajes |
| Catalonia | Mossos d'Esquadra | Connect to Mossos d'Esquadra |
| Basque Country | Ertzaintza | Connect to Ertzaintza |
| Portugal | SIBA | How to connect to SEF/SIBA |
| Germany | AVS | How to connect your property to AVS |
| Italy | Alloggiati Web | Guest Check-in Feature in Italy and Statistical Reporting in Italy |
Registration is mandatory. After you register, the authority gives you a username, a password, and in some cases a renter or accommodation code. You enter these details in your Holidu account to create the connection.
2. How do I connect my property to the authority?
To connect a property, open Online Check-in from the Tools menu, click Configure next to the property, enter the country details, and add your authority login. Click Validate, then Save changes. If no error appears, the connection is active.
- In the Holidu app, open the left side menu, click Tools, and select Online Check-in.

- You will see your list of properties. Click Configure next to the property you want to connect to the police or authority.

- The screen shows all your properties and the connection status of each one. Click the specific property you want to connect.

- Complete the form with the details of the country where the property is located.

- Scroll down, click "Activate automatic sending to police", and select the correct authority. Enter your username, password, and all required credentials. Do not use your Holidu login here. Use the credentials your authority gave you.

- Click Validate.
- After successful activation, click Save changes at the end of the form.
- If no error message appears, your property is connected to the responsible authority.
- Check these points to avoid errors:
- Use the correct host fiscal code. This is your ID number, or your NIE if you are not Spanish.
- Enter your full ID or NIE number, including all zeros.
- Use the login credentials from your local authority, not your Holidu login.
- Close the form. The connection should now show as active.
3. How does Online Check-in work?
After setup, Online Check-in runs automatically. Your guests receive a secure link to a check-in form, the system stores their data, and it is submitted to the authority at 11:00 PM on the day of check-in. You can monitor each booking's status and step in manually when needed.
3.1 What is the process for the guest?
Guests receive a link to a secure online form after booking and complete it for every traveller in their group. Reminders go out automatically if the form is incomplete.
- After booking, the guest receives an email or message with a link to a secure online check-in form.

- The guest enters details for all travellers and scans a passport or ID document. Each person travelling with the guest must also complete this step.
- The system submits the data securely and stores it.
- If the guest does not complete the form, automatic reminders are sent. If the guest still does not comply, you can enter the data on their behalf.
At 11:00 PM on the day of check-in, the guest data is submitted automatically to the relevant authority.
3.2 How do I read the status in the Bookings section of the Holidu app?
Each booking shows a status icon that tells you whether the guest data is missing, complete, sent, or failed. Find the booking in the Bookings section and compare its icon with the examples below.
- Started, but missing data:

- Guest data complete but not yet transferred, because the check-in date is in the future:
